INTRODUCTION
Casa Domotic SRL, hereinafter referred to as PRELUDE, has always been concerned with protecting the personal data it is required to process. To this end, Prelude undertakes to fully comply with the regulations in force applicable to the processing of personal data and, in particular, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (also entitled “the General Data Protection Regulation”) and the Belgian law of 30 July 2018 on the protection of individuals with regard to the processing of personal data.
The purpose of this privacy statement is to describe how PRELUDE collects, uses and discloses your personal information, whether in connection with the support we provide to you for any questions you may have, the services available on our website predude.eu, your visit to our websites or blog, the provision of a service by you, your application for a job, or simply in the course of our collaboration together.
This Privacy Policy therefore applies to the personal data of users of our Website or blog, in particular of our services, job applicants, employees, customers, suppliers, public or private partners, and other persons whom we may contact in the course of developing our activities.

- What types of personal datas are we collecting ?
1.1. The visitors on our website
It is possible to visit our websites without giving us any personal information. However, when you visit our site, we may automatically collect certain information whether or not you choose to use our services. When you use the PRELUDE services offered on our Site (e.g. IT installation, management of your data backup on our servers, installation of video surveillance cameras, etc.), we are required to process personal data. This personal data varies according to the service requested. In principle, the personal data we collect from our customers is limited to name, surname, address and ECB number, i.e. the data necessary for the invoicing and the provision of our services. For services involving the storage of personal data of the customer by PRELUDE, our company will act as a personal data processor and the terms of our intervention will be specified by specific contractual clauses.

1.3. Collaborators/partners of Prelude
If you are a collaborator or partner of PRELUDE, we may collect personal data, which is however limited. In principle, PRELUDE only needs the contact details of the people in your company who are responsible for the collaboration between your company and PRELUDE in order to ensure the management and follow-up of the missions or files handled. We will therefore request the following data:
- Name and surname
- E-mail address
- Phone number (private phone)
1.4. Suppliers/Subcontractor

In some cases, we may collect your banking information in order to pay you if your account is not in your company’s name. We may also hold additional information that someone in your company has chosen to share with us. If for any reason we need additional personal information, we will notify you.

In some cases, we may collect your banking information in order to pay you if your account is not in your company’s name. We may also hold additional information that someone in your company has chosen to share with us. If for any reason we need additional personal information, we will notify you.
1.6. Candidates for a job offer, trainees, temporary workers, employees, freelancers.
As part of an employment offer, the trainees or temporary workers or freelancers with PRELUDE, we may collect the following data:
- Name and surnmae ;
- Age/date of birth ;
- Number given at birth ;
- Sexe/gender ;
- Marital status ;
- Contact details ;
- Education background ;
- Professional experience ;
- Immigration status (require a work permit or not) ;
- Nationality/citizenship/place of birth ;
- A copy of your driving license and/or passport/ID card ;
- Social security number and other tax;
- Information about disability ;
- Information on any criminal convictions if required for the position you are applying for ;
- Information about your current wages, pension plan and benefits package ;
- Information on your are of interest and needs concerning your future employment ;
- Additional information that you decide to provide us ;
- Additional information about you that our Clients/Partners may disclose to us, or that we obtain from third party sources ;
- IP adress ;
Please note that the above list of categories of personal data that we may collect is not exhaustive.
This data is necessary to enable us to assess your skills in the context of a pre-contractual relationship, to conclude an employment contract and to ensure the management and follow-up of our contractual relationship or to meet legal obligations.

If you visit us in our premises and buildings, we will collect the following personal data:

- Mobile phone number
- Any other data required to ensure security procedures are followed at our facilities.
2. How are personal data collected ?
2.1. Visit and use of our website/blog
We may collect certain data automatically or data that you voluntarily communicate to us via our website, by e-mail or by telephone in order to be able to answer you or in order to be able to provide you with the requested service.
2.2. Collaborators/Partners/Suppliers
We will receive personal data directly from you in the following ways :
- When you contact us proactively, usually by phone or e-mail ;
- When you access our website ;
- Through our employees/collaborators as part of their duties.
If applicable and in accordance with laws and regulations, we may obtain more information about you through :

We collect personal data from candidates from the three following ways :

We collect your personal data during your visit by entering your data in the visitors’ register.
3. Purposes and legal bases of treatment
In general, personal information are only used to enable us to provide you with the services you have requested, to fulfill an order for services from a supplier, to communicate with you, to improve or develop our services or products, to provide you with targeted advertising and services, to protect us and our customers or partners, or to benefit from a service or product we have purchased from you.
Specifically, we use your personal data to:
- To enable us to improve your use of our site, the legal basis being your consent to the use of our cookies and our legitimate interest in providing you with an optimal website (article 6,1 a et Article 6 ,1 f GDRP) ;
- To communicate with you in order to respond to your questions or requests subject to your explicit consent. The legal basis is your consent (Article 6,1 a GDRP) ;
- To enable you to benefit from the services we offer you under a contract you enter into with us. The legal basis is a contract for services between you and our company (Article 6,1 b GDRP) ;
- To benefit from the services we have requested by contract (sales, subcontracting or collaboration contract) or to be able to contact you about our agreements. The legal basis being the contract between us and our interest in obtaining a service from you in accordance with our wishes (Article 6, 1 b) ;
- Assess the suitability of our job offers in relation to your profile. This step constitutes a pre-contractual measure and is covered by article 6, 1 b GDRP.
- To ensure the management of our contractual relationship within the framework of an internship, employment or interim contract, i.e. to enable us to comply with legal provisions relating to social security, occupational health, the pension system, the insurance system and tax obligations; to ensure the exercise and enjoyment of rights and benefits linked to employment, individually or collectively; to enable us to ensure the monitoring of your work; to enable you to access and use our IT tools and to ensure the termination of the employment relationship. The legal basis is the contract between us (Article 6 1, b GDRP) and the legal and regulatory obligations to which we are subject (Article 6, 1 c) GDRP).
- To meet legal and regulatory obligations, the legal basis being article 6,1 c) GDRP ;
- To send you invites, promotions, offers, for events such as networking events, as well as general information on the sectors of activity likely to interest you. The legal basis for this communication is your explicit consent (Article 6, 1 a GDRP).
- To communicate to you offers and services from PRELUDE related to the services you have used. This communication may be done by e-mail or by phone. The legal basis being our legitimate interest (Art 6, 1 f) GDRP) to offer you services similar to those you have already used from PRELUDE. However, you may, at any time, refuse these direct marketing communications by notifying us or via the unsubscribe link that will be included in our e-mail communication.
- Subject to your prior express consent, we may share your personal information with third-party partners, who may send you marketing communications in connection with their products and services. You may, however, at any time opt-out of such direct marketing communications by notifying us or via the unsubscribe link in our communication. The legal basis for this processing is your explicit consent (Article 6 1, a GDRP) ;
- To carry out satisfaction studies or surveys in order to adapt and improve our services or products. The legal basis is your explicit consent (Article 6, 1 a GDRP) ;
- To help us establish, exercise or defend legal rights. This may include situations where we need to obtain legal advice in relation to legal proceedings where we are obliged by law to retain or disclose certain information as part of the legal proceedings. The legal basis for our processing is our legitimate interest and compliance with legal and regulatory requirements (Article 6, 1 f and Article 6, 1 c GDRP).
- Security of our services and website/blog. In this case, we use your personal data to help us monitor the activities of users of our services, website or blog, in order to promote security and prevent any activity that is potentially illegal or in violation of our terms or policies. This processing is based on our legitimate interest in contributing to the safety of our services and property. (Article 6, 1 f GDRP).
- The security of our premises and buildings. This processing is based on our legitimate interest in ensuring the security of our premises, the confidentiality of our business secrets and the safety of persons within our premises (Article 6, 1 f GDRP).
In case the legal basis for the processing is our legitimate interest, PRELUDE ensures that the impact of the processing on the protection of your privacy is as limited as possible and that, in any case, the balance between the legitimate interests of PRELUDE and its partners and the possible impact on the protection of your privacy is not disturbed. If you nevertheless have objections to such processing, you may exercise your explicit right to object below.
PRELUDE will not sell or rent your personal data to third parties, unless you have given your consent.
4. What are your rights regarding the processing of your personal data by PRELUDE, and who can I contact ?
You have rights regarding the processing of your personal data. Our establishment is at your disposal for any information on this subject. You can also contact our DPO at the following e-mail address belgium@prelude.eu or by mail at the address of our establishment.
The main rights you have are the following:
- Right to access your personal data
You can consult your personal data at any time. Simply contact us at the address mentioned below (Data controller). You will then be given as complete an overview as possible of your data, the purposes, the recipients of the data, the storage periods and the existence of an automated decision-making process.
- Right to correct your data
It is possible that the data in our possession is no longer up-to-date or correct. You can request that this data be corrected or completed at any time. However, it is up to you to specify which data you wish to have corrected or completed.
- Right to limit the treatment of your data
You have the right to ask us to limit the processing of your personal data under certain conditions, namely;
– when you contest the accuracy of the data;
– where you have objected to the processing and we are in the process of verifying whether the legitimate grounds pursued by the controller override those of the data subject
– when you consider that the processing of your personal data would be unlawful but you do not wish to exercise your right to erasure of your data;
– when we no longer need your personal data for the purposes listed above but you need it for legal proceedings.
- Right to oppose
If you feel that your personal data is not being used in an appropriate manner, you may object to the processing of your personal data provided that the processing is based on our legitimate interests or on your explicit consent and that the objection is based on reasons relating to your particular situation. In order to exercise this right, you are required to indicate to which specific processing you object and for which specific reasons. This information is necessary in order to balance the interests involved.
Please note that we will not be able to comply with your request to object if:
- we can demonstrate that we have compelling legitimate grounds for processing your data which override your interests or another reason which justifies the continued processing of your personal data (e.g. legal obligation); or
- we process your data for the purpose of establishing, exercising or defending a legal claim.
- Right of portability
In case your personal data is processed under contractual obligations or explicit consent and using automated processes, you have the right to request that your personal data be transferred to you in a commonly used structured format, or be transferred to another controller designated by you. The Privacy Act, however, places some limitations on this right and therefore it is not applicable to all data.
- Right to erase personal data
You can ask us in the cases permitted by the GDPR to delete your personal data upon your request. However, this right is not absolute. The exercise of this right can only be implemented in the following cases:
– the personal data are no longer necessary for the purposes for which they were collected;
– the person concerned withdraws the consent on which the processing is based and there is no other legal basis for the processing;
– the person concerned objects to the processing and there is no compelling legitimate reason for the processing or if the person concerned objects to processing for the purpose of canvassing;
– the personal data have been processed unlawfully;
– the personal data must be erased in order to comply with a legal obligation provided for by Union law or by Belgian law;
– the personal data have been collected in the context of the provision of information society services.
- Right to file a complaint
You have the right to lodge a complaint against any violation of your rights with the supervisory authority if you consider that our establishment has not acted in accordance with the applicable legislation (contact of the supervisory authority under the article “Controller”).
You can exercise your rights, ask us any questions or make any comments about this statement at the address mentioned under the article “Data controller”. We will do our best to process your request as soon as possible, and in any case within one month (subject to extensions permitted by law). Your rights can be exercised in principle free of charge, subject to excessive demands that would cause a significant administrative overload for PRELUDE.

6. Sécurité
PRELUDE has implemented numerous technical, physical and organizational security measures to ensure the integrity, confidentiality and availability of the data of persons who interact with PRELUDE.
In particular, PRELUDE has implemented security techniques to protect personal data stored on computer servers against unauthorized access, improper use, alteration, illegal or accidental destruction and accidental loss.
PRELUDE is committed to a process of continuous monitoring and improvement of its security procedures to take into account new technologies or risks.
PRELUDE has also put in place contracts and imposed specific obligations with its subcontractors, partners or staff to ensure that the manual and electronic processing of any personal data is handled in a confidential manner and with appropriate security measures to avoid any misuse of such data.

7. Who has access to my personal data ?
We may share your personal data with the following categories of persons if they have a compelling need to know your personal data for the purpose for which it is requested or on a ‘need-to-know’ basis:
– our collaborators who have to deal with your file and the site on which we intervene (employees, self-employed, partners);
– employees of tax authorities, insurance companies, mutual insurance companies, banks or any other public organization when the law or any other regulation requires that your personal data be communicated;
– third-party service providers who intervene on our behalf, including lawyers, bailiffs, external consultants, auditors, IT service providers, communication companies, cleaning and building maintenance personnel, and personnel in charge of the security of goods and persons.
8. Will my personal data be forwarded outside Belgium ?
In fulfilling its missions, PRELUDE works with companies based in Belgium and the servers of its websites are located in the European Union. In principle, no personal data is stored outside the territory of the European Union.
In case PRELUDE needs to transfer your personal data to service providers, partners, joint ventures, subsidiaries whose headquarters are located outside the European Economic Area, in such cases, standard contractual clauses adopted by the European Commission will be imposed on the recipient if the protection of personal data is not sufficiently protected in the destination country.
9. How long will my personal data be kept ?
We only keep your personal data for as long as is necessary for the purposes described above.
In principle, we will delete your personal data from our systems if there is no contact with you after an uninterrupted period of 13 months.
In the case of a contract with PRELUDE, we will retain your personal data after a period of 5 years from the end of the contract with us. We may, however, retain your personal data for a longer period if required by law or regulation.
For employees of our partners or clients, personal data will be deleted after a period of 2 years after we are informed by our partner or client that you no longer work for them.
For applicants for employment with PRELUDE, personal data will be retained after the applicant’s selection period for a maximum of 2 years.
We may also retain your billing, contractual or other data for periods required by any applicable law or regulation.
10. Revisions and Updates to this Privacy Statement
We may make changes to this Privacy Statement from time to time, primarily to conform to new regulatory requirements. Any changes will be effective immediately upon publication of the updated Privacy Statement. In the event of a material change, a notice will be posted prior to their effectiveness or sent directly to you. The statistical analysis has been set up to be strictly anonymous and allows us to identify the most visited pages, the duration of the visits and to know the global habits of the Users of our application.
